Who we are

WorkBenefits is a division of Hale & Associates Inc., a group benefits brokerage licensed in Ontario. We are an independent broker, we represent the client, not any single carrier.

What we collect

To quote and administer group benefits plans, we collect:

• Employer information (company name, contact details, industry, payroll size).
• Census data (employee name, date of birth, sex, dependents, salary band, occupation classification).
• Existing plan documents and claims experience reports.
• Communications with you (email, phone notes, signed forms).

How we use it

Personal information is used solely to:

• Obtain quotes from insurance carriers.
• Place, administer, and renew your group benefits plan.
• Assist members with claims, escalations, and plan questions.
• Meet our regulatory and record-keeping obligations.

Who we share it with

Census and member data is shared only with the insurance carriers required to quote or administer your plan, and with the third-party administrators those carriers use. We do not sell, rent, or repurpose your data, and we do not share it with marketing partners.

How we protect it

Files are stored on access-controlled systems with encryption in transit and at rest. Census data is shared with carriers using secure file transfer methods. Access is limited to staff who need it to do their job.

How long we keep it

Client and member records are retained for the period required by insurance regulators in Ontario (currently 7 years after the end of the business relationship), then destroyed.

Your rights

Under the Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to access the personal information we hold about you, correct it if inaccurate, and withdraw consent (subject to legal and contractual restrictions).
